Ardens includes a number of reports to assist in delivering national contracts, including QOF, NCD DES, CQRS, SMI Health Checks and more. These clinical reports are purely to support practices and are not intended to replace the TPP system-wide nationally approved clinical reports which are used for payment, some of which are extracted automatically by GPES.

The Ardens national contract reports are a more simple interpretation of these contract reports, whereas the TPP system-wide reports are complex and based on the intricate business rules and specifications. The Ardens national contract reports are therefore not intended for payments but can be used to validate payment and data accuracy. Practices will be paid based on the data extracted by GPES by TPP, not on the data reported by Ardens.

In all the national contract folders, you will see some wording advising practices about this saying ** N.B. THESE REPORTS DO NOT REPLACE THE TPP NHS DIGITAL APPROVED REPORTS AND ARE FOR A GUIDE ONLY **

For this reason, there may sometimes be some discrepancies between the Ardens national contract reports and the TPP system-wide contract reports.  If an Ardens report data does not match a TPP system-wide report then it is an opportunity for the practice to review the records and if appropriate improve the quality of the data recorded. This support article 'Reporting issues frequently asked questions' may help to investigate why a patient is either in or not appearing in the results of a report. If practices have any questions about any discrepancies, please do not contact the SystmOne support desk but please contact the Ardens Support Desk instead.

Review Before/After Reports

Ardens includes some 'Review before' or 'Review after' folders with reports looking at a very specific data quality scenario such as Pertussis vaccinations recorded without a 'reason' of pregnancy. Practices are recommended to run these types of reports on a regular basis. These can often increase the practice income before the CQRS extraction which is a much better outcome.

Example report:  'Vaccinations > Pertussis I Review after > ?Add 'Pregnancy' reason to pertussis vaccination as women 16-50y + no reason for vaccination recorded in last 1y'

Hub Activity Reporting

More practices and PCNs are using Hubs to share resources and clinics which now often includes CQRS payment activities. Depending on what agreement has been made for payments it does make it very difficult to report on these activities at the registered practice as the event details will be 'Done Elsewhere' so won't normally show in CQRS reports as the events have to be 'Done here' to qualify for payment.

To help with this we have introduced a new set of reports. For each month you will now see two folders, such as;

  • Contracts I 2022 23 I CQRS > a April I Done elsewhere
  • Contracts I 2022 23 I CQRS > a April I Done here

The 'Done here' reports are the original reports that practices should continue to use to compare data on CQRS. The 'Done elsewhere' reports might be useful to show you where else your patients have been seen for the payment procedure.  You will need to breakdown the results and look at the 'Event Details > Event done at' as some activities will be genuinely done elsewhere such as school vaccinations/immunisations.

Historical Data

Ardens maintains a historical list of monthly national contract reports (like CQRS reports) for this year and last year whereas the TPP CQRS data extraction reports are rolled over each month for the new reporting period. This means that you can only validate the numbers for a small window of time.  This does make it very difficult to look back further than the current reporting month to validate numbers and justify a manual adjustment claim.

GP Collections Timetable

It is important that practices are aware of the data collection dates which can be found here GP Collections Timetable.
